Welcome to InVoice (“the App,” “we,” “us,” or “our”). InVoice is a mobile invoicing application developed for freelancers, professionals, and businesses to create, manage, and send commercial invoices.

We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and any related services (collectively, the “Services”).

Please read this policy carefully. If you disagree with its terms, please discontinue use of the App immediately.

2. Information We Collect

2.1 Personal Data (Provided by You)

When you register and use InVoice, we collect the following personal information, primarily through your Google Sign-In authentication:

Full Name — used to personalise your account and populate invoice sender details.
Email Address — used for account identification, communication, and support.
Profile Picture — retrieved from your Google account and displayed within the App.

2.2 Business Data (Provided by You)

To facilitate invoice generation, you may voluntarily provide:

Business Name — used as the sender identity on invoices.
Business Logo — image files uploaded by you for inclusion on invoices (InVoice Pro feature).
Payment Terms — such as due dates, late fees, and payment instructions you configure.
Invoice Data — including client names, line-item descriptions, amounts, tax details, and invoice numbers generated through the App.
Custom Invoice Prefixes and Numbering — configured by InVoice Pro subscribers.

2.3 Device and Usage Data (Collected Automatically)

When you use the App, we automatically collect certain technical information, including:

Firebase Cloud Messaging (FCM) Tokens — device-specific tokens used to deliver push notifications and automated invoice reminders.
Device Type and Model — used for technical support and App optimisation.
Operating System and Version — used for compatibility and debugging purposes.
App Usage Analytics — aggregated, non-identifiable data about feature usage to improve the App (e.g., frequency of invoice creation, feature adoption).

2.4 Payment Data

We do not directly collect or store your payment card details, bank account numbers, or mobile money credentials. Payment transactions are processed exclusively by our third-party payment processors, Paystack and Google Pay. Please refer to their respective privacy policies for details on how they handle your financial data.

3. How We Use Your Information

We use the information we collect for the following purposes:

3.1 Service Delivery

To create, authenticate, and manage your InVoice account.
To enable the core functionality of the App, including invoice creation, management, and delivery.
To process your subscription to InVoice Pro and unlock associated premium features.

3.2 AI-Powered Invoice Parsing

To process text input or voice data you provide through our AI-assisted invoice creation feature, which is powered by Google Gemini. This processing facilitates automatic extraction and structuring of invoice data from your input.

3.3 Notifications and Reminders

To send push notifications via Firebase Cloud Messaging (FCM), including automated overdue invoice reminders (InVoice Pro feature) and important App updates.

3.4 Customer Support

To respond to your inquiries and resolve technical issues via email at hello.invoiceapp@gmail.com.

3.5 Service Improvement

To analyse aggregated usage trends to improve App performance, features, and user experience.

3.6 Legal Compliance

To comply with applicable laws, regulations, and legal processes, and to enforce our Terms of Service.

4. AI Data Processing

4.1 Google Gemini Integration

InVoice uses Google Gemini, an artificial intelligence service provided by Google LLC, to parse and extract structured invoice information from text you provide within the App.

When you use the AI invoice creation feature:

The text content you submit is transmitted to Google Gemini’s API for processing.
Google Gemini processes this input to identify and extract invoice fields such as client names, services, amounts, and due dates.
The extracted data is returned to the App and used solely to populate your invoice.

4.2 Data Security in AI Processing

All data transmitted to Google Gemini is sent over encrypted connections (TLS/HTTPS). We rely on Google’s enterprise-grade security infrastructure for the processing of this data, as governed by Google’s API Terms of Service and Privacy Policy.

4.3 Important Limitations and User Responsibility

Do not submit highly sensitive, classified, or confidential financial information through the AI parsing feature. This includes trade secrets, privileged financial strategies, or any information that, if disclosed to a third party, could cause harm.
The AI parsing feature is designed for routine commercial invoice generation. It is not designed to handle classified governmental, legal, or sensitive corporate financial information.
We make no warranties regarding the accuracy or completeness of AI-parsed data. You are solely responsible for reviewing and verifying all AI-generated invoice content before sending it to clients.
Data submitted for AI processing may be subject to Google’s own data usage policies. We encourage you to review the Google Privacy Policy and Google Gemini API Terms of Service.

We do not sell, rent, or trade your personal information to any third party.

We may share your data only with the following trusted third-party subprocessors, strictly to the extent necessary for the operation of our Services:

We require all subprocessors to maintain appropriate technical and organisational security measures and to process your data only on our documented instructions and in accordance with applicable data protection law.

We may also disclose your information when required by law, court order, or governmental authority, or when necessary to protect our legal rights.

6. Data Retention

We retain your personal data and business data for as long as your account is active or as necessary to provide you with the Services.

Specifically:

Account Data (name, email, profile picture) is retained for the lifetime of your account.
Invoice and Business Data is retained until you delete it within the App or request account deletion.
FCM Tokens are refreshed automatically by your device and retained only while you have the App installed.
Payment Records may be retained for the period required by applicable financial and tax regulations, even after account deletion.

7. Account and Data Deletion

You have the right to request deletion of your account and all associated data at any time.

To request deletion:

Email us at hello.invoiceapp@gmail.com with the subject line: “Data Deletion Request”.
Include the email address associated with your InVoice account.
We will process your request within 30 days and confirm deletion via email.

Upon deletion:

Your account profile, business data, and invoice history will be permanently deleted from our Firebase Firestore database.
FCM tokens associated with your account will be invalidated.
Anonymised, aggregated analytics data that cannot identify you may be retained.
Financial transaction records required by law may be retained for the legally required period.

8. International Data Transfers

InVoice is operated from Kenya and uses infrastructure provided by Google LLC, whose servers are located in various jurisdictions globally, including the United States and the European Union.

By using the App, you acknowledge and consent to the transfer of your data to these jurisdictions. We ensure such transfers are governed by appropriate legal mechanisms, including:

Reliance on Google’s and Paystack’s standard contractual clauses and data processing agreements that comply with applicable international data transfer requirements.
Google’s certification under applicable data protection frameworks.

Where you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, please note that your data may be transferred to and processed in countries that may not provide the same level of data protection as your home jurisdiction. We rely on legally valid transfer mechanisms to safeguard your rights.

9. Your Data Protection Rights

Depending on your jurisdiction, you may have the following rights:

Right of Access — to request a copy of the personal data we hold about you.
Right to Rectification — to request correction of inaccurate data.
Right to Erasure — to request deletion of your personal data (see Section 7).
Right to Restriction — to request that we restrict processing of your data in certain circumstances.
Right to Data Portability — to request your data in a structured, machine-readable format.
Right to Object — to object to processing of your data based on legitimate interests.
Right to Withdraw Consent — where processing is based on consent, to withdraw it at any time.

For CCPA Rights (California Residents): You have the right to know what personal information we collect, to request deletion of your data, and to opt out of the sale of your personal information. We do not sell personal information.

For GDPR Rights (EEA/UK Residents): You have the rights described above and the right to lodge a complaint with your local data protection supervisory authority.

For Kenya Data Protection Act Rights (Kenyan Residents): You have the right to access, correct, and object to the processing of your personal data as provided under the Kenya Data Protection Act, 2019. You may also lodge a complaint with the Office of the Data Protection Commissioner (ODPC).

10. Security

We implement appropriate technical and organisational security measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include:

Encrypted data transmission using TLS/HTTPS for all API communications.
Firebase Security Rules restricting database access so that users can only access their own data.
Google Authentication tokens managed securely by Firebase Authentication.
Regular review of our security practices.

However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

11. Children’s Privacy

InVoice is not directed at children under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us at hello.invoiceapp@gmail.com so we can take steps to delete such information.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will:

Update the “Last Updated” date at the top of this policy.
Notify you through a push notification or an in-app notice for material changes.
Post the updated policy on our GitHub Pages site.

Your continued use of the App after the effective date of any changes constitutes your acceptance of the revised policy.
